Accessing sites and files - Troubleshooting

Most access issues arise from being logged into the wrong account.  It’s not uncommon for people to have multiple Microsoft 365 accounts, you probably have one through your agency (usually using your agency email address) as well as your GovTEAMS account. You might also have a GovTEAMS PROTECTED account.

Each application independently tracks what account you are logged in with and will usually default to logging you into the last Microsoft account you used in that application. Just because you are logged into Microsoft Teams with your GovTEAMS account, for example, it doesn’t mean that you are logged into the same account in your web browser.

If in doubt, check your account.

”You need permission to access this site/Item” error.

Community SharePoint sites and files can only be accessed by:

  • Private and hidden communities: people who are members of the community.
  • Open communities: all GovTEAMS users - Members, Partners, or Guests

You must be logged into your GovTEAMS account to access content. 

When trying to open a SharePoint site using a link, your web browser will use the last Microsoft account that you logged in with, which is often your agency / work account. Try using a private web browser window in Edge or Chrome.

If you are logged into the correct account and continue to experience problems, please contact the person who sent you the link to make sure they used the correct link permissions. 

“Access denied - does not have permissions to access this resource.”

You must be logged into your GovTEAMS account (ending in @govteams.gov.au) to access a community site.

Select "Ïf you have a different account, trying signing in with that account”.  It will sign you out of the account listed in the error and prompt you to sign back in. Make sure you select your GovTEAMS Account – ending in @govteams.gov.au (Members), @partners.govteams.gov.au (Partners) or the email that was invited to join the community (Guests). 

You can also try using a private web browser window in Edge or Chrome.

“That didn’t work” error.

You are logged into the wrong account. Select “Click here to sign in with a different account”. It will sign you out of the account listed in the error and prompt you to sign back in. Finding content in a community.

Community owners are responsible for managing the content and membership of their communities. If you are experiencing problems, reach out to the community owners to help. You can see who they are by opening the community card on your GovTEAMS Dashboard

Do not see your communities in Microsoft Teams

The community owner(s) might have disabled Microsoft Teams for your community. If the Teams icon is missing from the community card on the GovTEAMS Dashboard it means that Teams has not been enabled. Contact the community owners for assistance. The community owners can be found by clicking the community card on your GovTEAMS Dashboard.

If Teams is enabled for your community, check that you are logged into Microsoft Teams with your GovTEAMS Account (Members and Partners) or the email that was invited to join the community (Guests).
